Terms & Conditions

These Terms & Conditions apply to travel planning, booking and related services provided by Kaheen ("Kaheen", "we", "us" or "our"). By requesting our services, making a payment or confirming a booking with us, you acknowledge that you have read and accepted these Terms & Conditions.
1. Our role
Kaheen provides travel planning, consultancy and booking facilitation services. Depending on the nature of your journey, we may arrange or facilitate services provided by independent third parties, including airlines, hotels, transport companies, guides, activity providers, restaurants and other travel suppliers.
Unless expressly stated otherwise, these suppliers are independent businesses and are responsible for delivering their respective services. Their own terms and conditions may also apply.
Our role and responsibility will depend on the services we have agreed to arrange for you and the nature of the booking.
2. Travel planning and itinerary requests
For Kaheen to begin preparing a detailed international travel itinerary, a planning fee of ₹5,000 per person is payable. For domestic travel within India, the planning fee is ₹2,500 per person.
The planning fee covers the time and work involved in researching, designing and preparing a personalised itinerary.
Unless otherwise agreed in writing, the planning fee is separate from any deposit or payment required to confirm the eventual travel booking and is non-refundable once itinerary planning has commenced.
Any applicable booking deposit or balance payment will be communicated separately in your proposal or invoice.
3. Making a booking
A booking is confirmed only once Kaheen has received the applicable payment and issued a booking confirmation or confirmation invoice.
Unless otherwise specified in your proposal or invoice, the deposit required to confirm a holiday booking is ₹10,000 per person or 10% of the total holiday cost, whichever is greater.
Where a supplier or particular travel arrangement requires a higher deposit, the applicable amount will be communicated to you before confirmation.
For bookings made 70 days or less before departure, full payment may be required at the time of booking.
Your confirmation invoice will specify the amount payable and any applicable payment deadlines.
If payment is not received by the applicable due date, Kaheen reserves the right to cancel the booking and apply the relevant cancellation charges or supplier charges.
4. Prices and availability
All prices quoted by Kaheen are subject to availability and may change until the booking is confirmed and payment has been received.Prices may change because of changes in airline fares, hotel rates, exchange rates, taxes, government charges, supplier pricing or availability.
Any change in price known to us before confirmation will be communicated to you before the booking is confirmed.
Once you receive your proposal or invoice, you should check the details carefully and notify us promptly of any errors or discrepancies.
Unless specifically stated otherwise, quoted prices do not include costs such as visa fees, travel insurance, optional activities, personal expenses, certain local taxes or compulsory charges payable directly to suppliers or authorities.
Where known to us, we will endeavour to advise you of applicable additional charges.
5. Pricing errors
While we take reasonable care to ensure that all prices and information provided to you are accurate, occasional errors may occur.
If we discover a pricing error before your booking has been confirmed, we will notify you as soon as reasonably possible.
If the correct price is higher than the price originally quoted, you may choose to proceed at the correct price or, where applicable, consider an alternative arrangement.
If you do not wish to proceed at the correct price, Kaheen reserves the right to cancel the affected booking and refund any payment made towards that booking, subject to any applicable supplier terms.
6. Payment policy
All payments due to Kaheen will be specified in your proposal, invoice or booking confirmation.
Payment must be received by the stated deadline.
If payment is not received within the specified period, Kaheen may cancel the relevant arrangements without further notice and any applicable cancellation or supplier charges may become payable.
Payments made towards travel arrangements may be subject to the cancellation and refund conditions applicable to those arrangements.
7. Changes to your booking
If you wish to change any part of your travel arrangements after a booking or invoice has been issued, we will do our best to accommodate your request, subject to availability and the terms of the relevant suppliers.
An amendment fee of ₹5,000 per change may apply, in addition to any airline, hotel, transport, activity or other supplier charges arising from the requested change.
We will advise you of applicable additional costs before proceeding with the amendment wherever reasonably possible.
Some bookings may not permit amendments or may carry significant amendment charges. These restrictions will be communicated where known to us.
8. Transferring bookings
Unless expressly agreed otherwise in writing and permitted by the relevant suppliers, bookings made through Kaheen are non-transferable.The name on a booking cannot be changed simply by transferring the booking to another traveller.9. Travel information and documents
Following confirmation, Kaheen will provide relevant travel information and documentation applicable to your arrangements.
This may include, where applicable:
Flight tickets or e-tickets
Hotel confirmation vouchers
Activity or sightseeing confirmations
Transport details
Destination information
Other travel documents
You are responsible for checking all documents carefully as soon as you receive them and notifying Kaheen promptly of any apparent errors or discrepancies.
You are also responsible for ensuring that your personal information, including names, passport details and other information provided to us, is accurate and up to date.
10. Passports, visas and travel requirements
It is the traveller's responsibility to ensure that they hold valid passports, visas, permits and other documentation required for their journey.
Travel requirements can change and may depend on nationality, destination, transit points and the purpose and duration of travel.
Where Kaheen provides visa assistance, we may assist with the preparation or submission of information based on the documents and information supplied by you.
We do not guarantee that a visa or travel authorisation will be granted.
Kaheen is not responsible for rejection, delay or non-issuance of a visa arising from inaccurate, incomplete or insufficient information or documentation supplied by the applicant, or from a decision made by the relevant government or immigration authority.
You remain responsible for ensuring that all information provided in a visa application is complete, truthful and accurate, that your passport is valid, and that any visa or travel authorisation issued to you covers the required dates, entries and purpose of travel.
11. Third-party suppliers
Many of the services arranged through Kaheen are provided by independent third parties, including airlines, hotels, transport operators, guides, restaurants and activity providers.These suppliers may have their own terms and conditions, cancellation policies, conditions of carriage and limitations of liability.Where applicable, these terms will form part of the arrangements between you and the relevant supplier.Kaheen will use reasonable care in selecting and coordinating suppliers as part of the services we agree to provide, but we cannot control the day-to-day operation of independent suppliers.12. Changes to travel arrangements
Travel arrangements can occasionally be affected by circumstances outside Kaheen's reasonable control.Airlines, airports, hotels, transport operators and other suppliers may change schedules, routes, operating arrangements or availability.Where we are made aware of such changes, we will endeavour to assist you and communicate relevant information as reasonably promptly as possible.Any alternative arrangements, additional costs or refunds will be subject to the applicable supplier's terms and the circumstances of the change.13. Force majeure
Kaheen will not be responsible for loss, damage, additional costs, delays, changes or failure to provide services where these arise from circumstances that are outside our reasonable control.Such circumstances may include, without limitation:War or threat of warTerrorist activityCivil unrest or political instabilityIndustrial disputesNatural disastersSevere weatherFireEpidemics or pandemicsGovernment restrictionsClosure or congestion of airports or portsAirspace restrictionsTransport disruptionActs or omissions of suppliersOther events that could not reasonably have been foreseen or avoided
Where such circumstances affect your journey, we will make reasonable efforts to assist you in finding appropriate alternatives or obtaining any refunds available from relevant suppliers.Additional costs arising from such changes may be payable by you.14. Our commitment to you
Kaheen will provide the travel planning and booking services we have agreed to provide with reasonable care and skill.We will endeavour to ensure that the information and arrangements provided by us are accurate based on the information available to us at the time.However, we cannot guarantee the availability, operation or performance of services provided by independent third-party suppliers.To the extent permitted by applicable law, Kaheen will not be responsible for losses, expenses, injury, illness, death, damage or other claims arising from:The acts or omissions of independent suppliers;Circumstances outside our reasonable control;The acts or omissions of a traveller or member of their party;Services not arranged or provided by Kaheen;Changes made directly by the traveller with a supplier;Optional services purchased independently during a trip; orInformation or documentation supplied incorrectly or incompletely by the traveller.
Nothing in these Terms & Conditions excludes or limits any liability that cannot lawfully be excluded or limited under applicable law.15. Optional and locally booked activities
Activities, excursions and experiences arranged independently by you during your trip, or purchased directly from local operators, do not form part of your arrangements with Kaheen unless expressly confirmed by us.Where Kaheen assists in booking an optional activity provided by an independent operator, the booking may be subject to that operator's own terms and conditions.Some activities may involve physical activity or other inherent risks. You should assess your suitability for any activity and ensure that your travel insurance provides appropriate cover.16. Travel insurance
Kaheen strongly recommends that all travellers obtain appropriate travel insurance before departure.Your insurance should, where appropriate, provide cover for medical expenses, cancellation, interruption, baggage, personal possessions, delays and other risks relevant to your journey.It is your responsibility to ensure that the policy you purchase provides adequate cover for your individual circumstances and planned activities.Kaheen does not provide insurance unless expressly stated as part of your booking.17. Complaints
If you experience a problem during your journey relating to an arrangement made by Kaheen, please inform us as soon as reasonably possible.Where appropriate, you should also notify the relevant supplier immediately so that they have an opportunity to resolve the issue.Prompt notification gives us and the relevant supplier the best opportunity to investigate and remedy a problem while you are travelling.If an issue remains unresolved after your return, please submit your complaint to Kaheen in writing within 5 days of completing your journey, quoting your booking reference and relevant details.We will review the matter and respond as reasonably promptly as possible.18. Website information
Our website, social media channels, itineraries, articles and other published material are intended to provide information and inspiration about travel.While we take reasonable care to keep information accurate, travel conditions, prices, availability, opening hours, supplier offerings and destination requirements can change.Website content should not be treated as a guarantee that a particular service, experience, price or arrangement will be available at the time of booking.The specific arrangements confirmed in your proposal, invoice and booking documentation will take precedence over general website or promotional information.19. Data protection and privacy
In order to respond to enquiries, design itineraries, process bookings and provide our services, Kaheen may need to collect, use, store and share personal information with relevant suppliers and service providers.We handle personal information in accordance with our Privacy Policy.By using our services, you acknowledge that your information may need to be shared with relevant travel suppliers, authorities or service providers where necessary to fulfil your booking or provide the requested service.20. Governing law and jurisdiction
These Terms & Conditions are governed by the laws of India.Any dispute arising out of or in connection with these Terms & Conditions or services provided by Kaheen shall be subject to the jurisdiction of the courts having appropriate jurisdiction over Kaheen's principal place of business, subject to applicable law.21. Acceptance of these Terms
By making a payment towards a Kaheen booking, you confirm that you have had an opportunity to read and understand these Terms & Conditions and agree to be bound by them.Where specific terms relating to a particular booking differ from these general Terms & Conditions, the specific terms communicated in your proposal, invoice or booking confirmation will apply to that booking.KAHEEN
